CPGC OASUS Help

Introduction

The Center for Peace and Global Citizenship has revamped its application process. From now on, all applications for CPGC funding will be submitted online using the Online Application Submission System (OASUS). All application materials can be submitted through OASUS, you don't need a scrap of paper to apply for funding from the CPGC.

Register/Activate

Haverford community members must register to begin using OASUS to apply for CPGC funding. Enter your complete Haverford college email address(example:jdoe@haverford.edu) as your username and pick a password that you can remember and isn't too easy for others to guess. When you have successfully registered an "activation email" will be sent to your Haverford email address. This email contains a link that you must open in order to activate and begin using your newly created OASUS account.

Create a New Application

With your account registered and activated you can begin the application process. From the Application Manager you can select an application to create from the drop-down list under "Create New Application." Once you do this a new application of the type you have chosen will appear in the "Current Applciations" section with links to the various steps involved in completing the application. NOTE: Only use OASuS to apply for the current deadline period. All unsubmitted applications are deleted when deadlines are reached!

Edit your Application

Click "Edit" under eny of your Current Applications in the Application Manager to begin filling in the application questions. When you first begin you will notice a red box with a list of fields that have to be filled in and those fields will be starred in your application. This will help remind you to fill in all required fields before you submit the final version of your application. The reminders can only remind you of fields that you may have skipped, make sure to read all of the application instructions carefully to be sure you do not omit required fields.

Every time you click 'Save' or move from page to page in your application, the information that you have entered will be saved. Your application will *never* be read until it is submitted so feel free to begin work on your app, save it, and then resume editing at a later time.

You may feel it is useful to do most of your editing in a word processer (e.g. Microsoft Word, Google Docs, etc.) and then cut-and-paste your responses into your application after your revision phase. This allows you to use your word processor's spell checker and grammar checker. Any formatting that you incorporate in a word processor (e.g. multiple fonts, font sizes, bulletted lists, pictures, tables) will be stripped away when you paste the text into OASUS will not be seen by application reviewers.

Recommendations

The CPGC is asking recommenders to fill in a recommendation form online instead of sending letters of recommendation. You must make this form available to your recommenders by clicking the link "Send Recommender Emails" from the Application Manager. Your recommenders will be sent an email with a link to a recommendation form to fill out on your behalf. *NOTE: You must send recommender emails to your recommenders by clicking on "Send Recommender Emails", putting a recommenders name into your acutal application will not make the form available to your recommenders.

The automated email will contain the following text:

Jane Doe requested that you fill out a recommendation form for his/her application to the CPGC. Recommenders for CPGC applicants are asked to fill out an online recommendation form instead of writing letters of recommendation. Copy and paste the link below into your web browser\'s address bar to be taken to your online recommendation form:

Internship Survey

Everyone applying for an internship funding from the CPGC will be required to submit an anonymous and confidential survey with their applications. This survey will have no bearing on your application and will be used solely for research and informational purposes.

Forgot your password

If you forget your password, you can click on Forgot Password. This link also appears on every login screen. At the forgot password page simply enter your username (which is your haverford email address) and you will be emailed a link which you can click on to reset your password. You must already have registered and activated your account to use this feature!

Submitting Recommendations

When you have been requested to submit a recommendation on behalf of an applicant you will receive an automatic email message that contains a link to the online recommendation form. Clicking submit on a recommendation form will finalize your recommendation unless there are errors or omissions on the form, in which case they must be corrected before final submission. N.B.: Every prompt must be responded to even if that means writing "Unable to comment" or "N/A" in some fields when necessary. Once a recommendation form is submitted it is not retrievable and can no longer be viewed by the recommender. The applicant who has requested your recommendation will never have access to content of your recommendation, but will be notified when the recommendation is submitted.

Service Learning and Off-Campus Conferences and Workshops

The Service Learning Fund, and Off-Campus Conferences and Workshops fund can be applied for as an individual or as a group trip. If you want to apply as an individual for one of these funds then simply fill out the corresponding "Organizer" application on OASuS, submit it and you are done. A complete group application will include one ORGANIZER application that the trip organizer fills out and a PARTICIPANT application for each person (other than the "organizer") who wishes to participate in the event.
Please read on for detailed instructions for how to apply as a group for the Service Learning Fund or the Off-Campus Conferences and Workshops fund.

  1. Create the ORGANIZER app. One applicant (the "organizer") must create an ORGANIZER application for the event using the pulldown menu in the OASUS main menu.

  2. Add Participants. The organizer can use the "Add Participants" link in the main menu to create PARTICIPANT applications for every other person (except the him/herself) who is applying to attend the event. NOTE: Each group member must register with OASUS before he/she can be added as a participant.

  3. Fill out ORGANIZER and PARTICIPANT applications Only one organizer application is required per group, but every member of the group (excluding the organizer) must fill out their own personal PARTICIPANT application. The ORGANIZER application has logistical questions relating to the event itself, while the PARTICIPANT application contains personal questions for each group member relating to his or her reasons and qualifications for attending the event.

Only students who have submitted PARTICIPANT applications will be considered for funding to accompany the group to the event.

View/Edit Profile

To view and edit your user profile you must be logged into OASuS. Just click the View/Edit Profile link from the top navigation bar in the Application Manager. The content of the profile will be included with your application for funding so please make sure it is accurate.
